Authors Guidelines

Paper Submission

High-quality papers, in double-column IEEE format and not exceeding 6 pages, are invited.

The conference language is English.

Papers should present the Scientific, Technical and Visionary Research work, and must highlight the novelty as well as actual or expected impact.

All papers using the IEEE Template must be submitted online, as a PDF document. Paper submission is open to all researchers independently of being associated to European Framework projects.

It is a condition of submitting a paper that:

1 – the list of authors is not changed after the paper has been submitted for review;

2 – following acceptance of papers, authors act on feedback and comments provided by the TPC, prior to submitting the final paper for publication;

3 – presenters act on feedback provided by their Session Chair to ensure high quality presentations;

4 – presenters register and pay the participant’s fee by the deadline prior to submitting the final version of the paper.

All papers are anonymously reviewed by the Technical Programme Committee (TPC) (i.e., authors are not aware of who the reviewers were).

A notification of acceptance will be sent to the authors.

The Organising Committee may only communicate with the author who submitted the paper, and not with all authors.

Papers will be evaluated according to the following criteria:
– Relevance and timeliness
– Technical content and scientific rigour
– Novelty and originality
– Quality of presentation
– Overall Recommendation

Final papers are subject to editorial review and a quality check.

Papers not selected for oral presentation may be accepted for presentation in poster sessions.

Steps to Submit a Paper

1 – Papers should be in English, and should follow the IEEE Template (in Word and LaTeX formats), not exceeding 5 double-column pages. Authors must also submit an IEEE Copyright Form (see policy here) when uploading the final version of the paper.

2 – Submit your paper using the EDAS system (according to the links below).  Only PDF files with all fonts embedded are accepted. Your submitted PDF file and registered EDAS account of a paper must list the same author(s), title and abstract. Papers where the PDF and EDAS account do not match the author(s), title, and/or abstract will be withdrawn by the Technical Program Co-Chairs.

3 – You can review the paper and resubmit it up to the deadline. Only the last version submitted before the deadline is reviewed. Please note that once a paper has been allocated to the Technical Programme Committee for review, it is no longer possible to resubmit it.

Steps for Accepted Papers

1 – If the paper is accepted, the authors need to upload the final version of the paper by the deadline. This version of the paper should be 5 to 6 pages long.

2 – Each accepted paper requires at least one registration before the deadline prior to submission of the final version of the paper (check the Registration page). The Conference Registration Policy should be checked by authors prior to submission.

3 – Accepted and presented papers will be published in the Conference Proceedings and submitted to IEEE Xplore as well as other Abstracting and Indexing (A&I) databases.

4 – The paper must be presented by an author of that paper at the conference, unless the TPC Chair grants permission for a substitute presenter. The conference organisers reserve the right to exclude a paper from distribution after the conference if the paper is not presented at the conference.

Final Paper Submission for Accepted Papers

All papers go through a plagiarism detection process.

The final paper submission for the accepted papers has to follow these steps:

1 – Create IEEE Explore compliant pdf file using PDF eXpress.

2 – Download the paper approved by PDF eXpress (PIDxxx.pdf) and submit it to EDAS.

3 – Sign IEEE Copyright form (during the download process 2.).

Follow IEEE style files as during first submission. Final papers are collected in an IEEE PDF eXpress approved pdf-form.

Creating your PDF eXpress Account
Log in to the IEEE PDF eXpress site
First-time users should do the following:
1. Select the New Users – Click here.
2. Enter the following:
– 48522X for the Conference ID
– your email address
– a password
3. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Access the Publications Support Center for IEEE PDF eXpress.
If you do not find an answer in the Find Answers tab, go to the Ask A Question tab.
Your question will be forwarded to IEEE PDF Support and answered within 3 business days.

Download the paper approved by PDF eXpress (PIDxxx.pdf) and submit it to EDAS.

The IEEE copyright form must be filled in order to include the papers into IEEE Explore. This is done during downloading the final paper with EDAS.

Steps to Submit an Extended Abstract for Poster

The procedure to submit an Extended Abstracts for Poster is the same as the one for papers. An extended abstract (max. 2 pages) should be submitted. The template to be used is the same as for papers.

Submit your poster abstract using the EDAS system (according to the link https://www.edas.info/newPaper.php?c=26943&track=99227 )- to be open from 2020 Feb 24th.

Poster abstracts will be evaluated according to the following criteria:
– Relevance
– Timeliness
– Technical Content
– Novelty
– Overall Recommendation
