Presenters Guidelines

Oral Sessions

As a Speaker, you have the responsibility of being clear, concise, and capturing the interest of the attendees.
The quality of your presentation directly affects the interest your audience will have in your material and the overall satisfaction the attendees will have of the conference.

If you are not an experienced presenter, we suggest you practice your presentation with a small group of experienced colleagues who will provide feedback to assist you.

We would like to call your attention to the following:

  • Be at the room of your session 15 minutes before it begins, so that you can meet your Session Chairs and the other Speakers in advance.
  • Make sure that your CV has been uploaded to your personal area in EDAS, so that the Session Chair will have it by the beginning of the session. As a backup, please have a printed version with you and hand it over to the Session Chair.
  • It is most important to be within the strict time constraints in order to allow the presentations to fit within the allotted time periods. Each paper has a time slot of 17 minutes, 14 of which are for the presentation, and the remaining 3 are for questions and discussion. The Session Chair will rigorously enforce these time limits.
  • Video projectors and laptop computers will be available in all conference rooms. Other equipment, if available, will be provided at your expense if you request it. Check availability with the conference secretariat.
  • Speakers must submit their presentation in a PREVIEW CORNER located in Foyer 2 (Level -2). We recommend that you bring both a PowerPoint and PDF file of your presentation to ensure that there are no problems. The presentation should be submitted as soon as possible and no later than 2 hours before the presentation (for early morning sessions please submit the presentation the day before). The technicians will check and upload your presentation into the central system.
  • Speakers are not allowed to bring their own laptop computer, avoiding useless time breaks in between papers.

Poster Sessions

As a Poster Presenter, you have the responsibility of capturing the interest of the attendees to the work you are showing.
The quality of your presentation directly affects the interest your audience will have on your material, and the overall satisfaction the community will have on the conference.

We would like to call your attention to the following:

  • Poster Sessions will take place in the Foyer 2 (Level -2), in front of the exits from the main conference halls, so that we can take advantage of the breaks to increase interaction between authors and attendees.
  • Each poster board is marked with the assigned poster reference number. Authors are required to use only the boards corresponding to their posters.
  • Posters should be stuck to the poster board using only dual-face sticking tape or similar tool. Staples, pins, screws or any abrasive or perforating hardware are not permitted. Do not write or paint on the poster boards.
  • Posters can be displayed for the entire conference from Monday morning 9:00 until Thursday 14:30, but at last 30 minutes before the start of the designated poster sessions.
  • Authors are required to stand by their posters during the whole session dedicated to their posters, but we warmly invite you to be available and ready to present during both poster sessions.
  • Posters should be removed from the boards by Thursday 14:30 the latest.
  • There will be staff in Foyer 1 to ensure that facilities are functioning properly, and to give you any assistance you may require during the session. Poster session chairs, Urban Sedlar and Aleš Švigelj will be also on site before the scheduled sessions in case you need assistance.
  • Poster boards have a size of 100 cm x 210 cm (width x height).
  • Use an appropriate font size allowing posters to be readable by attendees 1.5 m away. The poster message should be clear and understandable even without oral explanation.
