Poland is a member of the Schengen Zone, so a visa is required for persons of certain nationalities. For attendees requiring a visa to travel to Poland, we recommend following these guidelines:

Early application

Begin your visa application process well in advance to allow sufficient time for processing.

Provide accurate information

When filling out your visa application form, make sure all information is accurate and matches the details provided during the conference registration.

Supporting documents

Prepare all necessary supporting documents, including the invitation letter received during registration, proof of registration payment, accommodation details, and travel itinerary.

The suggested way to proceed with a visa application is to use the e-Consulate portal.

Below we provide also a short summary of visa types and requirements. However, please note that these might change, so please verify the information using the Ministry of Foreign Affairs of the Republic of Poland web page.

There are two types of visas:

  • Schengen visa (type “C”) – is valid in the Schengen Area and permits its holder to remain in the territory of all of the Schengen Area Member Countries for a maximum of 90 days during a 180-day period.
  • National visa (type “D”) – permits to enter the territory of the Republic of Poland and to stay continuously or for several successive times in this territory for a total duration of more than 90 days during the period of validity of the visa, but no longer than one year.

A visa is issued by a Consul of the Republic of Poland. To apply for a visa, you need the following documents:

  • A travel document (passport document) which is valid for at least three months after the planned date of leaving the Schengen Area, contains at least two blank pages, and was issued within the last ten years;
  • A completed and signed visa application form;
  • A photograph;
  • A proof of visa payment;
  • A medical travel insurance document whose coverage amounts to no less than EUR 30,000, valid throughout the Schengen Area, and covering all expenses that may arise in connection with the need to return for medical reasons, a medical emergency, urgent hospitalisation or death;
  • Supporting documents:
    • A document confirming the purpose of travel (an invitation letter);
    • A document confirming the possession of adequate financial resources to cover the costs of living during the planned stay and to cover the costs of return to the country of origin or residence;
    • A document concerning accommodation or possession of financial resources to cover the costs of accommodation;
    • A document that permits to assess if the applicant is planning to leave the Schengen Area before the visa expires.

During the registration process for the conference, attendees have the option to request an invitation letter, which is necessary for visa applications related to the event. Once the registration is successfully completed and paid for, the invitation letter will be provided to assist with the visa application process.
